How your contact form submission is handled

You’re about to send a message through a contact form on a small business’s website. That business uses Mato CRM to receive these messages. Here’s what happens to what you type.
Who gets your message
- Your message goes straight to the business’s inbox — the business whose website you’re on.
- Mato CRM is the tool that delivers it. Mato CRM is run by a small US web studio.
- Mato CRM is a service provider for the business. The business decides what to do with your message.
What is collected
- Your name, email, phone number, and the message you typed
- Your IP address and browser
- The page URL the form was on
- The time you sent it
What is not collected
- Payment information of any kind
- Tracking cookies or advertising pixels
- Anything that didn’t come from the form fields
What it is used for
- Delivering your message to the business
- Sending the business an email alert that you wrote in
- Filtering out spam
- Keeping a short record so abuse can be investigated
Your message is not sold, used for advertising, or fed into AI training.
How long it is kept
- Messages: up to 24 months, then deleted automatically
- Spam-flagged messages: 30 days
- IP address: 90 days, then erased from the record
How to ask for it to be deleted
- Email privacy@matocrm.com from the same address you used on the form. Say what you’d like removed.
- We forward the request to the business and delete the message if they authorize it or don’t object within 15 days.
- We respond within 45 days.
- You can also email the business directly — they’re usually faster.
Your rights
- If you live in California, Virginia, Colorado, Connecticut, Utah, or another US state with a privacy law, you can ask to know, access, delete, correct, or get a copy of the information about you.
- If you live in the EU or UK and you submitted this form to a US business, your request still works — write to the same address.
One more thing
This notice tells you what Mato CRM does with your message. It does not replace the business’s own privacy policy. For the business’s side of the story, look for a “Privacy Policy” link on their site.
